Map spaces before assigning responsibility
Draw the unit, the observed room and any adjacent, upper, lower or shared area relevant to access. Record only what was reported or observed safely. A ceiling change in one unit does not by itself establish where the source began or who is responsible.
List the association or manager contact, unit owner, resident and any known access contact for a neighboring unit or shared room. Use the building documents and current management instructions for notice and access; this worksheet does not interpret association documents or Florida law.

Separate entry permission from work authorization
A person who can open a door may not have authority to approve removal, move another person’s contents or authorize work in a shared area. Ask who can approve the initial assessment, urgent mitigation, material access and later repairs for each space.
Provide known elevator reservations, parking rules, work hours, certificate requirements and occupied-unit limitations before the visit. Ask the provider to identify work that depends on access not yet confirmed and how a delayed or denied area will be documented.

Build a neutral multi-party record
Keep a dated log of notices, access attempts, photographs, source-repair findings, restoration scopes and changes. Attribute each statement to its source. Do not convert a manager message, resident observation or contractor estimate into an insurer coverage decision.
Ask the responding provider to confirm availability, assessment charges and the written scope at the address. If authority or responsibility is disputed, seek guidance from the appropriate association, insurer or qualified adviser rather than asking the restoration provider to resolve it.
